Project Coordinator

eSolutionsGroup (a GHD company) is a multi-disciplinary consulting firm. We specialize in web design and development, branding, communications, marketing and creative strategies. We build and offer customized and out-of-the-box digital solutions for our clients who are mainly public sector organizations.

The Project Coordinator position is based out of our Waterloo, ON office, and reports to a senior manager/director. Travel is required subject to client needs.

About the job:

Our project coordinators work with multiple project managers concurrently to administer and organize website implementation projects from analysis and planning through design, development, user acceptance testing and GoLive.

Our project coordinators run the show by coordinating all project activities in cooperation with and under the direction of a Project Manager, aiming at the flawless execution of the project. Working closely with clients and internal cross-functional teams, Project Coordinators are responsible for ensuring open communication throughout the life of the project to schedule and confirm activities, motivate both internal and external team members to achieve, and build strong and positive relationships with all project stakeholders.

At eSolutions, we collaborate with our clients to build lasting relationships and implement continuous improvements to their online presence and services. We work closely with our clients throughout the life of the project and after GoLive to understand and develop creative digital solutions for their pain points, needs, and goals. We are committed to providing exceptional customer service, and work tirelessly to exceed our clients’ expectations.

You will often be your clients’ first point of contact for project questions, and will occasionally be called upon to run both external and internal project meetings. You’ll be an expert on what’s going on with your projects, and will be relied upon by the Project Manager and internal teams to help answer questions regarding requirements, scope, and schedule. You will update project status reports, prepare meeting agendas and minutes, attend all project meetings, follow up with clients and internal teams on upcoming or past-due deliverables, and ensure that project documents are filed in accordance with our ISO certified project delivery process.

You thrive in a fast-paced environment with multiple deadlines, and are able to coordinate between many different team members to ensure that projects stay on track. Your ability to learn and retain details about people and projects makes it easy for you to keep track of multiple concurrent schedules and deliverables. You have excellent time and task management skills.

You have superb communication skills, a high level of patience, and derive enjoyment from helping people understand concepts and requirements. You are the first to contribute in team meetings and are comfortable being the liaison between the client and the internal project team through the project lifecycle.

What you'll do:

  • Become an expert on your projects, clients, and our ISO certified project delivery process
  • Work in fast-paced environment and navigate constantly shifting priorities
  • Attend and take notes during regular project meetings, and occasionally run internal and client-facing meetings
  • Follow up with clients and internal teams to ensure tasks are being completed on schedule, and to the required specifications
  • Ensure the project schedule and task due dates remain up to date in project scheduling software and status reports
  • Prepare meeting agendas and project status reports
  • Act as a key point of contact for your clients, and respond to client emails and inquiries in a timely manner
  • Coordinate with the Project Manager and internal teams to identify answers to client inquiries
  • Anticipate next steps in the project, and identify potential risks or challenges as tasks are completed or due dates missed
  • Assist the Project Manager in motivating clients and internal teams to achieve due dates and project goals
  • Organize and file project documents and communications in accordance with our ISO requirements
  • Follow up with clients and internal teams to ensure tasks are being completed on schedule, and to the required specifications – oh, did we say that already?
  • Attend focus groups and assist with compiling information from needs assessment activities into final reports
  • Prepare project agreements and quotes for additional work
  • Assist with proposal writing and other business development activities as necessary
  • Some travel may be required subject to project needs

Your skills, experience and qualifications: 

  • College diploma or University degree in Business, Communications, Public Relations, Journalism, or any IT/software-related discipline, or equivalent 
  • Some experience coordinating activities, events, or projects in a team setting
  • High level of comfort with computers, software applications, and web technologies
  • Excellent verbal and written communication skills, with the ability and patience to help others understand what needs to be done
  • Willingness to learn new skills and technologies, and dedication to life-long learning and self-improvement
  • Ambition to build and develop a career
  • Demonstrated understanding of project management practices, and basic knowledge of the software development lifecycle
  • Motivated self-starter with strong work ethic and the ability to work under limited supervision
  • Very organized, with the ability to navigate constantly shifting priorities
  • Near-fanatical attention to detail
  • Highly proficient with Microsoft office applications (Word, Excel, PowerPoint)
  • Demonstrated ability to thrive in a collaborative team-based environment
  • Strong interpersonal skills and the ability to develop positive and lasting relationships with colleagues and clients
  • Ability to think outside of the box, and gain a thorough understanding of problems and potential solutions
